STAFF MEMBERS PRESENT: Jill Hall, Senior Center Supervisor A motion to approve the October minutes with revisions was made by Corresponding Secretary, Betty Briscoe and seconded by Vice-President/Vice Chairperson, Ron Barber. Motion carried. TREASURER'S REPORT: Report for the month of October was presented by Treasurer, Rusty Embrey. Committee Chair – Ways & Means, Betty Ball made a motion to approve the treasurer’s report and Committee Chair – Mary Barber seconded the motion. Motion carried. STANDING COMMITTEES: A. Budget: We took in $3,476.05 and disbursed $2,872.26. Sally Kamenshine’s family has not decided what fund to designate the money we received in her memory, so we will put it in the general memorial fund. The Carnation Players have $1,200 to spend on microphones. We have $95 for a game room light fixture. We are at 29% of our budget for receipts and have spent 13% of our budget. The RSI file cabinets were cleaned out and we have retained files from FY04 to FY07. The Gift Shop and Thrift Shop file cabinet is full. Our taxes are due on November 15 and we will have to file for an extension since it appears we need a new accountant. Rusty will take care of this. If we revise our by-laws Rusty asked if we could also make the Assistant Treasurer an officer since the she signs checks. The Bylaws were last revised in August 2005. B. Ways & Means: George was very impressed by the number of gift certificates we have for the Bazaar. Assistant Treasurer, Betty Hughes has worked very hard to get them. We sold cookbooks and raffle tickets at the Train Show. Betty Ball sent information to St. Mary’s and posted signs at Giant Food. She also sent flyers to civic associations to remind them of the Holiday Bazaar. Betty Hughes has 29 crafters for the Bazaar and we may try a new setup for the crafters. Recording Secretary, Vivian Dupuy is working on getting volunteers for the kitchen. She also needs to call volunteers who are making food. C. Bingo: We are giving out four $25 gift cards as Thanksgiving prizes at Bingo on Wednesday. The sandwiches are popular. We made new food tickets for one hot dog, one bag of chips and coffee with no substitutions. Rusty asked Mary if she could write one check every two weeks to the Sandwich Lady. Fan sales are sporadic. D. Correspondence/Memorial: Lois Darling passed away on October 24, 2007. We have received four donations in her memory from Ken and Helen Michalean, Mary Lou Pijar, Nancey Veit and Frances J. Lee. Acknowledgements will be sent to the family. Phyllis Bartlett passed away on November 1, 2007 and a sympathy note was sent to her family. E. Gift Shop: In the month of October the Gift Shop made $1,025.50 The consignors were paid $429.75. RSI netted $595.75. F. Thrift Shop: The Thrift Shop netted $811.00 for the month of October. G. Publicity: George has a draft of the newspaper ad for the Bazaar. H. Senior Citizens Commission: The Aging in Place forum this past week went very well. Thank you to RSI for all your help. Over 400 people came to the forum. We gave out 400 Senior Center newsletters to help with marketing the Center and its programs/services. We are trying to get DVDs made of the forums at Holiday Park and the Social Hall. Ciriaco Gonzales, Senior Citizens Commissioner accepted a certificate from the Mayor and Council for Aging in Place Month, which ran from October 11 to November 11, 2007. The Commission has formed a committee to make Rockville a Senior Friendly City. They want to make it affordable for seniors to stay in their home, get help with taxes and city services. The Commission is going to try and get the Mayor and Council to give a tax break to seniors. Ciriaco has noticed a problem with the libraries in Rockville not displaying copies of the senior center newsletters. Steve Lipson, Senior Citizens Commissioner will work with the Rockville Library and Ciriaco will work with the Twinbrook Library. I. Hispanic Services Report/Asian Services Report: On October 24 the Korean members of the center were invited to a meeting but only 4 of the 22 members showed up. They will have a combined Christmas/New Year party in the first week of December. Rinn Shinn, Committee Chair – International Clubs needs to book a room with the front office.
OLD BUSINESS: Parking Lot Expansion - At 7:00 p.m. on November 28, 2007 the Planning Commission will meet to discuss the additional parking request for the center. We need to encourage seniors to come and let the commission know how much we need it. George will revise the agenda to include the new committees, Outreach, Fundraising and Volunteers. Mary Jane Walling, Committee Chair has agreed to head up the Volunteer Committee to look into ways of recruiting new volunteers. She will work with Livia Laffey, the Volunteer Coordinator. We currently have 304 volunteers in the center. Vivian is working on recruiting members to help with the Outreach Committee and will meet with Jill. Betty Hughes is heading up the Fundraising Committee and is currently working on the Holiday Bazaar but is looking at having either a no bake –bake sale or a flower sale in February. We are currently assessing the demand for sandwiches. Signs are being done; it is included in the newsletter. We need a volunteer to sell sandwiches. It won’t be a huge profit maker but will provide a service to our users. It was recommended that we set a specific time to buy sandwiches. They are popular at Bingo.
NEW BUSINESS: Rinn asked if we could allow advanced ping-pong players from other centers to come here and play for free without joining the center. Jill explained rules regarding how drop-in rooms are used. She suggested that Chris Klopfer, Sports and Fitness Specialist, could set up monthly invitational tournaments with others and charge a small fee to attend. Vivian felt that we need better directions or signage in the center for evening programs. We do have signs at the front entrance, kitchen entrance and back entrance on the Woodshop side.
STAFF REPORT: Jill talked about the how successful the Rebuilding Together project was in the gardens and encouraged everyone to go and look at the new shed. The automatic door openers should be installed in the next few weeks. Jill reminded everyone that the center will be closed for cleaning over the holidays. Because of the holidays a joint December/January newsletter was prepared. As part of the marketing outreach, staff prepared a 2008 Calendar which highlights programs held at the center. It will be sent to all members plus people in the city aged 65-75. The, Holiday Volunteer Cards will be mailed out at the end of November. Jill asked that the Board spread the word about the PROS Plan and encourage people to go on the city website and fill out a survey about Programs and Services for Seniors.
