Glenview Mansion

Surrounded by acres of manicured lawns, including a formal garden, Glenview Mansion is perfect for weddings, receptions and other social events.  The first floor of the Mansion is fully furnished.  The second floor is home to the Glenview Mansion Art Gallery.

The maximum capacity for the Mansion is 225 people. Furnishings in the social rooms of the Mansion include inviting chairs, couches and occasional tables.  The Dining Room typically hosts your caterer’s buffet. The Conservatory most often accommodates ceremonies and dancing. The facility is perfect for stand-up buffet dining for any size group up to 225, but can only accommodate seated dining for a group of 50 or under.  Provision of additional tables and chairs for expanded seated dining within the Mansion is not permitted.

  • Weekend tours are generally available during the monthly art gallery opening receptions usually held from 1-4 p.m. on the 1st Sunday of each month.  Please call to confirm staff availability on these special Sundays.

LEAD TIME FOR CONTRACTING EVENTS

Contracts for events at Glenview Mansion are accepted up to 15 months in advance for Non-Rockville residents and up to 18 months in advance for Rockville residents.

Rates presented here are effective July 1, 2007-June 30, 2008 and subject to change at the discretion of the City of Rockville Glenview Mansion management. Events scheduled after July 1, 2008 are subject to increases.  Please call the office to obtain rates for events occurring after June 30, 2008.

RESIDENT/NON-RESIDENT DETERMINATION
  • A Non-Rockville resident is any person who does not reside within the corporate limits of the City of Rockville. 
  • A Rockville resident is any person living in or owning property within the corporate limits of the City of Rockville.  When contracting a Wedding/Reception – if the bride, groom, or their parents or grandparents reside within the corporate limits of the City of Rockville the event qualifies for the "Rockville" rate. 
HOLD POLICY

Contracting an open date at the Glenview Mansion is on a first-come, first-served basis.  An open (available) date may be put on hold for 4 business days.  Failure to sign a contract and present the down payment before the close of business on the fourth day will result in the date becoming "open" and available to others at 8:30 a.m. on the next business day.  This Hold Policy is strictly enforced.

DOWN PAYMENT    

In order to secure a date, a contract must be signed. A down payment of $750 is required for a 7-hour event and $1000 is required for a 10-hour event.

SECURITY DEPOSIT

A $500 security deposit payable by MasterCard, Visa or check must be paid at least two month prior to the event date along with the balance due.

BALANCE DUE & FINAL WALK THROUGH

Approximately two months prior to an event all clients must schedule a final walk through of the facility. The caterer is required to attend the final walk through appointment with the client.  The final walk through must be scheduled within our office hours; appointments are scheduled, based on availability, Monday through Friday.

Clients are required to pay the final balance, security deposit and any balance due for ceremony chairs no later than 60 days prior to the date of the event.

CHANGE OF DATE

A $100 fee will be charged for changing an event date to a different available date.

CANCELLATIONS

Cancellations must be received in writing from the person whose name appears on the signature line of the contract.  The cancellation date is the date that the written notice is received in the office.  

  • When cancellation occurs more than 120 days prior to the date of the event, Glenview Mansion will retain $500 of your $750 down payment for a 7-hour event (or $800 of a $1000 down payment for a 10-hour event).  The balance will be refunded.
  • For cancellation 120 days (or less) before the date of the event, your entire down payment will be retained by Glenview Mansion.
  • Cancellation 60 days (or less) before the event date, the entire facility rental fee will be retained by Glenview Mansion.
  • If Glenview Mansion manages to re-book the date of your cancelled event and the re-booked event occurs, then all but $100 will be returned for a 7-hour event. Refund policies vary for re-booked 10-hour event dates.

WEDDINGS / RECEPTIONS / SOCIALS - Access / Rental Blocks

  • Access to Glenview Mansion is restricted to the contracted times for your event.
  • Rental includes use of the entire first floor of the mansion, two dressing rooms on the second floor as well as the formal gardens on the grounds adjoining the house.  The second floor Art Gallery can be accessed for one hour during your reception.
  • A typical 7-hour use of Glenview Mansion for an event includes two hours for set up, four hours of actual event time and one hour clean up.  Set-up includes time for deliveries, work by caterers, florists, band/DJ and other auxiliary services supporting your event. Guests should not be present during set-up or clean-up.
  • Saturdays have two rental periods: 10 am to 5 pm or 6 pm to 1 am.  A full custodial cleaning occurs between events.  These rental times cannot be changed.
  • An optional 10-hour event is offered on Saturdays to expand your needs for the set-up or actual event and is based on availability.
  • Additional hours may be purchased to expand rentals on Fridays or Sundays

OUTDOOR/INDOOR WEDDING CEREMONY OPTIONS

Outdoor ceremonies may only be conducted at approved sites within the four-level garden area of the mansion or the Bowling Green area located behind the cottage.  No formal set up or activities are permitted on the front lawn or green spaces outside of the garden area or Bowling Green area.  Indoor ceremonies are permitted in the Conservatory only.

Limitations: 
The provision of ceremony chairs by Glenview Mansion is limited to the following: 

4th (lower level) of the formal garden(fountain area):  25 chairs maximum
3rd (unleveled) of the formal garden:  no set up is permitted on this level
2nd (mid level) of the formal garden:  175 chairs maximum
1st(upper level) of the formal garden:  175 chairs maximum
Bowling Green behind Cottage:  200 chairs maximum

WEDDING CEREMONY CHAIRS

Glenview Mansion offers the rental of up to 200 white chairs for outdoor wedding ceremonies in our formal gardens.  Our staff will set up the chairs as the chairs are only used for the ceremony.  Immediately following the ceremony the chairs will be removed. If chairs are needed for the reception portion of your event, you must contract additionally with an outside provider.  The ceremony chairs will be available to guests 30 minutes prior to the scheduled ceremony time.

Fees:  $2.50 per chair, with a minimum request of 25 chairs

  • In the event of inclement weather, if you decide not to have the outdoor ceremony chairs set up, a $50.00 fee will be deducted from the original outdoor chair rental to set up (80 or fewer) chairs inside the Conservatory.  The balance of the outdoor wedding chair rental fee will be returned to you.
     
  • If you have the chairs set up outside and all or partial set up is completed and the weather changes or makes it otherwise not desirable to have the ceremony outdoors, you are responsible for the full outdoor chair fee as contracted as well as a $50 fee for staff to set up the indoor Conservatory site (no more than 80 chairs).  The additional $50 fee for this service will be deducted from your security deposit.
     
  • If, during your final walk through for your event, a decision is made to have the ceremony indoors, your contract will be amended to reflect only a $50 indoor ceremony chair fee.

Indoor ceremony set-up includes up to 80 black cloth chairs in the Conservatory.  It is the renter’s responsibility to put chairs away after an indoor ceremony occurs.

ALCOHOL PERMITS

  • For all events held free of charge for participants where alcohol is provided as an optional beverage served open bar, no alcohol license is required.
     
  • For all events where alcohol is included in the price of admission to the event or if the event hosts a cash bar, an alcohol license is required through Montgomery County.  
     
  • Requests for alcohol permits must be made at least 30 days prior to the event date.  Please contact: Montgomery County Dept. of Liquor Control located at 16550 Crabbs Branch Way in Rockville, MD.  Phone:  240-777-1900.

EVENT RELATED DELIVERIES AND PICK UPS

Deliveries and pick-ups of event supplies are to be completed during the rental time block indicated on your contract unless otherwise arranged during your final walk through.

  • The mansion basement is available for storage of items such as outdoor rental tables/chairs, caterer equipment and beverages for events.  Delivery of items must be during regular business hours the Friday prior to any weekend event.  The basement is not a secured area; therefore storage of items prior to and after any event is taken at your own risk.  This option is offered on a first-come first-served basis and will only be allowed for one event per weekend in order to avoid confusion over ownership.

Notes: For health and safety reasons:

  • The caterer is responsible to clean/rinse all dishes and equipment that are stored in the basement after an event.
  • No food items may be stored in the basement at any time.
TENTING

 

Tenting is only allowed on the first level of the garden directly outside the Living Room/Dining Room side of the house and behind the Cottage only.  No front lawn tents are permitted.  All tents must be water barreled (no staking is allowed).  A tent must be set up and taken down within the contracted rental period.  The City of Rockville/Glenview Mansion will not assume any responsibility for tents on the grounds outside contracted event hours.  Coordination with mansion staff is required.

SOCIAL EVENT HOST / HOSTESS:

There will be a staff member representing the City of Rockville on duty during the contracted hours to assist with house concerns such as accessing locked areas, correcting heating or air conditioning issues, replacing indoor lighting and insuring that the renter and all auxiliary services vacate the premises by the end of the contracted time. 

The staff member will provide information related to the use of the mansion.  This staff member is in charge of ensuring that rules and regulations are followed during the event by periodical inspections.

The social event host or hostess is not a coordinator nor should he or she be expected to assist in set up, clean up or any other aspect of the event such as announcing or directing.

WEDDING REHEARSAL OPTIONS

 

Wedding rental groups may request use of Glenview Mansion for a rehearsal on a day other than their contracted wedding event.  Rehearsals include only the use of the indoor Conservatory and the outdoor formal garden area unless otherwise noted. Rehearsal use does not include permission to serve any food.

Note:  Rentals of other areas within Glenview Mansion maybe occurring at the same time as your rehearsal.  In order to respect all user groups and the facility, please check with mansion staff upon your arrival.

BOOKING:

The following options are available within the six weeks prior to your event:

  • Based on availability, you may schedule a ONE-HOUR rehearsal, at no extra charge, on one of the following weekday evening hours:
         ο Evening Options: (rehearsal group must leave the house before 7 p.m.)
               > Wednesday evening at 5-6 p.m. or 6 -7 p.m.
               > Thursday evening at 5-6 p.m. or 6-7 p.m.
    Note: There can easily be two rehearsals on the same evening/day. Please plan accordingly to keep your rehearsal to the allotted time. Departure times are firm.

  • Based on availability and subject to change, you may schedule a ONE-HOUR rehearsal at no extra charge during one of the following daytime options:
          o Daytime Options: (rehearsal group must leave before 2 p.m.)
                > Monday through Friday – 11a.m., 12 noon, or 1 p.m.
    Note:  These free daytime rentals are subject to change due to requests from other potential private paying renters.
  • Based on availability, you may contract for an extended block of time for your rehearsal at a reduced rate.  A minimum block of three hours must be contracted. Rehearsal options include:

                o Your choice of three hours anytime Tuesday, Wednesday or Thursday between 9 a.m. and 9 p.m.                                        
                   $220 for non-Rockville residents, $205 for Rockville residents

                o Friday daytime ending no later than 2 p.m.                             
                   $220 for non-Rockville residents, $205 for Rockville residents

         between 9 a.m. and 9 p.m.

SPECIAL GARDEN REHEARSAL / COTTAGE DINNER OPTION

Within the six weeks prior to your event (if the Mansion is not booked) a rehearsal may be scheduled as follows:

Thursday/Friday Night Rehearsal in the Formal Gardens & Dinner in the Cottage: 
This includes 5 hours use of the gardens and Cottage, but
no indoor rehearsal access to Glenview Mansion:  $495 for non-Rockville residents, $440 for Rockville residents.
